We are thrilled to announce a major update to the Quick Add workflow in MRSware’s Web interface! We’ve integrated AI to replace manual data entry for Orders, Invoices, and POs.
The Problem: Data Entry Fatigue
Manually transcribing data from a vendor’s email or a scanned PDF invoice is tedious and prone to errors. You have to hunt for the PO number, calculate the commission rate, and ensure the dates match up. It slows down your sales cycle and keeps you away from what matters most: growing your business.
The Solution: Two New AI-Powered Ways to Work
1. AI Smart Paste
Next time you get an order acknowledgement in an email, don’t re-type it. Simply copy and paste the entire email body into the new AI Paste tab in the Quick Add dialog.
How it works: The AI analyzes the unstructured text, identifies the legal entities (even with fuzzy name matches!), and populates the fields automatically.
Intelligent Mapping: It knows that “Total” or “Balance Due” maps to your Sales amount.
Automatic Lookups: It cross-references your database to find the correct Manufacturer, Customer, and Sales Rep split rates in real-time.
2. AI File Content Extraction
Receive a PDF or a photo of a packing slip? Don’t even bother copying text. Use the AI File tab to upload the document directly.
Visual Analysis: The AI “reads” the document layout just like a human would. It extracts line items, totals, and reference numbers.
Speed: Most documents are processed and populated in under 5 seconds.
Safe & Verified: The data is pre-filled into the Quick Add form, allowing you to review and make minor adjustments before clicking Save.
Unified Logic
The best part? These AI features aren’t just “bolted on.” They are fully integrated with MRSware’s native business rules.
Custom Splits: If the AI identifies a Customer, your specific Sales Rep commission splits and account numbers are automatically fetched.
Financial Accuracy: Commission $ and Commission % are kept in perfect sync.
Transparency and Control
We’ve also implemented a comprehensive AI Usage Log for administrators. You can track every AI interaction, see exactly which documents were processed, and monitor token usage to ensure your team is getting the most value out of our AI integrations.
